Start with a real event
An inquiry, quote or appointment can begin a short sequence. The first message should acknowledge what happened and explain what comes next. It should not pretend a person has already read details they have not seen.
Choose timing and responsibility
Map who gets notified, who replies and when a reminder is useful. Avoid sending several messages just because the software can. Customer preferences, business hours and the service context should guide the sequence.
Make stopping part of the design
A reply, booking, declined quote or opt-out should change what happens next. Test those cases as carefully as the first message. A customer should not continue receiving prompts to book after the appointment is confirmed.
Keep the human handoff clear
Automation can acknowledge and remind; your team still answers substantive questions and confirms availability. Start with one useful sequence, test it, and expand only when the operation can support it.
