PRACTICAL GUIDE

How Fast Should a Business Respond to a New Inquiry?

Set a response process your team can actually keep.

Acknowledge receipt clearly

A short automatic acknowledgment can confirm that a form arrived. Say that the request was received and explain the next step. Do not call it a personal response or promise a time you cannot reliably meet.

Assign responsibility

Someone needs to own new requests during working hours and review what arrives overnight. A shared inbox helps only if the team knows who replies. Use a simple waiting-for-response status and check it routinely.

Match urgency to the service

A scheduled consultation and an urgent repair have different expectations. Clearly state your actual hours and urgent-contact route. Do not market emergency help if the business cannot provide it.

Look for delays you can fix

Review a small sample of real inquiries with permission. Note when they arrived, when a person replied and where they stalled. Improve the process around those observations instead of adopting an unsupported universal response target.
